​Your job and responsibilities:

Interested in the operational and administrative management of catering and the related communication?
Do you like working with a variety of administrative stakeholders at both local and EU level?

As a catering management assistant in the Infrastructure Unit, you will be part of a highly effective, creative and dynamic team. You will contribute to the preparation, organisation, design and implementation of:

1. the administrative and operational follow-up of catering contracts;

2. the communication plan for the catering service;

3. the management of web content, in particular the catering service's intranet site;

4. the management and communication of sustainability projects (project management monitoring, sustainable canteen, food waste, food donation and Green Events);

5. the drafting of the technical specifications for the various calls for tender of the catering service of our two Committees, as well as their logistical coordination and evaluation.

6. You will also help to organise conferences, seminars and other events, including those online, in particular with a view to increasing outreach towards regional and local authorities.

7. You will help to serve as a link between the two Committees' events, and contribute to the implementation of the sector's communication plan, as well as its monitoring and evaluation process.

8. You will support relations with other EU institutions and catering partners. You will also coordinate related budgetary and contractual aspects. In all these tasks and processes, you will interact closely with a wide range of internal and external stakeholders at political and administrative levels, with institutional partners, experts, speakers, suppliers and catering partners, as well as with other departments of the Committees, such as the private offices of the president and the secretaries-general, the registry, etc. ​

Are you the talent we are looking for?

· You have experience in administrative management, budgetary, financial and contract planning, post-event reporting and ensuring the legality and regularity of operations.

· You have good knowledge of the Financial Regulation applicable to the general budget of the European Union and its Rules of Application; experience in operational implementation of framework contracts and in dealing with external service providers will be highly appreciated.

· You are able to coordinate inter-departmental and inter-institutional activities related to the remits of the unit and to design, collect and analyse indicators for measuring and evaluating the impact of projects.

· You have the ability to stay at the forefront of new trends in the area of communication; experience using the web and social media, and online tools and platforms; and motivation to learn to use other specific IT applications and online tools, in particular those facilitating online participation.

· You possess excellent communication, organisation and coordination skills, respect deadlines, and have a good capacity for summary and analysis (ability to distinguish the essential from the inessential and to identify areas of risks).

· You have a thorough knowledge of one of the official languages of the European Union and a satisfactory knowledge of another of the EU's official languages. For functional reasons, a high level of French is required and a good knowledge of English is desirable; knowledge of other languages would be considered as an asset.

· You are a very good team player, resilient, communicative and a customer-orientated person. ​
